3 Simple Ways to Get Rid of Sales Inbox Congestion

How much would you pay to get to inbox zero?

This much?

If you’re a salesperson, you probably have two major stresses in your workday. One, hitting.that.quota. And two, managing your never-ending inbox.

Inbox congestion is one of the most stressful parts about managing your sales pipeline. Starring an email or marking it as unread just isn’t enough. When you have 10 starred emails, and 20 unread, it still looks messy and overwhelming.

Here are 3 simple tricks that can help change your daily email workflow:

1. Simply, change your Gmail Settings

No really, this simple trick will rock your world (and I too just found out about it).

How it works: Your inbox will be categorized into three categories. Easily see which emails you haven’t read, which ones you’ve starred and need to pay attention to, and lastly, the rest of your inbox you need to work through.

When to use: This is helpful because you can quickly see new emails, and then file them appropriately. It stops your inbox from building up throughout the day.

2. ToutApp Reminders

This is the perfect trick to help you clear emails you’ve already read, but want to keep fresh in your mind.

When to use: When you want to remember to email a prospect at a certain time. (Forget setting calendar reminders or adding it to your task list; this is the easier way.)

How it works: Set a reminder on an email you need to write, and it will appear at the top of your inbox at a scheduled time. I know that many of us keep our inboxes as a task list; this diminishes the need to do that. When you’re writing to a prospect, set a reminder in that moment and hit Tout It! You’ll be reminded to email that important person again, and be able to archive or file away the email in your inbox. Easy peasy.

3. Don’t FEAR the Archive button!

I know, I know, but what if you need that email for later? How will you remember to write your prospect back? (eh-hem…see #2).

How it works: Archiving does not mean deleting. Period. It simply stores your information outside of your daily inbox. Simply search for any email you need, like: “Prospect XYZ meeting” and it will pop right up. I recently got accustomed to archiving the heck out of my inbox, and now I can’t stop.

When to use: When you’ve finished correspondence with your leads or customers, and do not need them top of mind at that moment. Hit the the archive button. Also, if you have an email that’s over 30 days old, Archive it or set a reminder.

1. What’s your company/role: 

Bannerman offers the fastest and easiest way to book private security (bodyguards, security guards, and bouncers). Clients are able to book last minute at no extra cost. All of our guards are licensed, have passed background checks and are extensively trained. Many of our Bannermen are ex-military that have honorably served our country.

As one of the founders, I do a little bit of everything (Product, HR, Accounting, etc) but my favorite is finding and getting to know new clients.

2. Why do you love ToutApp? How do you use it for your job? 

ToutApp helps me stay super organized. That is key when you’re trying to thrive in a chaotic startup environment and when you feel like you’re playing chess (if chess had a million different dimensions).

ToutApp’s features allow me to be on top of communicating with our Bannermen, keeping in close contact with our clients and being as effective as possible at finding new customers. I don’t think I could live without the “templates”, “groups” and mail merge tools.

3. Why Tout vs. other sales tools in the market?

I’ve had the opportunity to use many different sales tools out there with this startup and with past companies. I made the active decision to switch and pay for ToutApp because it’s honestly the best tool out there to stay organized on the client acquisition side of things. The combination of tools and features are much more advanced than anything else out there. I will continue to stick with ToutApp because it has soul. This comes through with its content, fun features (like the Sales Gong), and its ninja customer service.

4. What was your journey into sales?

My Father was in sales. It’s in my blood. I used to pack batteries, game boy games and candy at summer camp and sell them to all the kids. When I was a young choir boy, I sold raffle tickets to raise money for our European singing tours. The girl scout cookie stands had nothing on me.

5. What’s one of your favorite sales tricks?

One of the goals in sales is to stand out and be remembered. I learned this in college when I played rugby. Being one of the smallest guys on the field, I would often collect “souvenirs” from the game. This translated into showing up for office hours with shoulder splints and bandaged wrists or the likes. The professors always seemed to remember me and therefore became much more accessible. I was able to form fantastic relationships with many of them, while other students never stood out beyond being a dude in a popped collar.

I’m not saying you should go beat yourself up, but maybe use the “Schedule” feature and send an email at 4 AM. You might be remembered as the person that sent back an email at 4 AM.

6. Favorite email you’ve ever received?

Email Tracking 101



You know what really grinds my gears? By: John Barrows

A bunch of stuff, but here are a few phrases/words/questions that really grind my gears and need to be eliminated from the vocabulary of Sales professionals:


1.      Touching base and checking in – my #1 pet peeve and the two most meaningless phrases in sales. They mean there is no reason for your call so there is no reason for me to talk to you. You should always have a reason for your call.
2.      Tell me about your business – one of the worst questions you can ask someone in today’s business world. Companies spend thousands of dollars on their websites, SEO, marketing materials, etc. to tell the world about their business and the first thing you’re going to say when you get someone’s time is “tell me about your business?”  You should know about their business before walking in the door. Ask clarifying questions about their business to show you’ve done your homework.
3.      We’re the leading provider of… – apparently everyone on the planet is the leading provider of something. I challenge you to go to someone’s website and NOT find this phrase or something similar. No fix for this one, just stop using it.
4.      What keeps you up at night? – My daughter keeps me up at night. Next.
5.      Is this a good time? – It’s never a good time. Try “do you have a few moments” instead.
6.      Is this STILL a good time? – reps ask this question to clients even when they have a scheduled meeting on the calendar. Why leave yourself open to someone rescheduling when you already have them?
7.      I can help you (when used too early in the sales process) – You have no idea whether or not you can help me so don’t tell me you can before you understand my situation.  You might have helped other clients like me but don’t tell me you can help me, especially when prospecting.

Tout has totally changed my workflow.

At Pixel Farm, we have two distinct customers:  ad agencies and large companies.  After understanding how we can help them, prospective clients are usually eager to work with us.  Getting the initial            conversation can sometimes be difficult, however.  This is where ToutApp comes in.

I started using Tout for my outbound emails a few months ago, and it’s excellent.  I find leads using LinkedIn, and the app allows me to A/B test my messaging and eliminate receptive tasks .

Tout provides great insights via its tracking and analytics features, and the user interface is beautiful.  One of my favorite features is the email server integration which allows emails to be sent via your server — not some third party application.  Tout can also be integrated into Salesforce, and inbound emails will land in your inbox (Outlook, Apple Mail, Gmail, etc).

Check it out. It was worth the switch for me.
