Product Update: Personalize and Schedule your Sales Campaign

We know putting a prospect on a Sales Campaign is a big deal – it’s your one shot to catch your prospect’s eye and drive enough value to get to the next stage in the Sales process. And, once you have a campaign running, you will find yourself adding people to that campaign over time.

It’s nerve-wracking and you want to make sure everything is *perfect*.

Before now, adding touches of personalization and scheduling a Tout Sales Campaign took some serious sales juju, a dance move from Antonio Brown’s playbook and a wish. Not exactly the reassurance you expect when you’re pressing the big bad ‘Launch Campaign’ button.

But don’t worry – we’ve just made it so. much. easier. for you.

Check it out:

Personalize and Schedule Campaigns

Now, whenever you are launching a Campaign – you have the ability to:

  • Personalize and preview the messaging you are sending to each individual on your Campaign
  • Schedule your personalized Campaign or send it right away

And best of all, you can do this from wherever you work – in ToutApp.com, Outlook, OWA, Gmail or from Salesforce – right from an individual record or even in a listview.

3 Simple Ways to Get Rid of Sales Inbox Congestion

How much would you pay to get to inbox zero?

This much?

If you’re a salesperson, you probably have two major stresses in your workday. One, hitting.that.quota. And two, managing your never-ending inbox.

Inbox congestion is one of the most stressful parts about managing your sales pipeline. Starring an email or marking it as unread just isn’t enough. When you have 10 starred emails, and 20 unread, it still looks messy and overwhelming.

Here are 3 simple tricks that can help change your daily email workflow:

1. Simply, change your Gmail Settings

No really, this simple trick will rock your world (and I too just found out about it).

How it works: Your inbox will be categorized into three categories. Easily see which emails you haven’t read, which ones you’ve starred and need to pay attention to, and lastly, the rest of your inbox you need to work through.

When to use: This is helpful because you can quickly see new emails, and then file them appropriately. It stops your inbox from building up throughout the day.

2. ToutApp Reminders

This is the perfect trick to help you clear emails you’ve already read, but want to keep fresh in your mind.

When to use: When you want to remember to email a prospect at a certain time. (Forget setting calendar reminders or adding it to your task list; this is the easier way.)

How it works: Set a reminder on an email you need to write, and it will appear at the top of your inbox at a scheduled time. I know that many of us keep our inboxes as a task list; this diminishes the need to do that. When you’re writing to a prospect, set a reminder in that moment and hit Tout It! You’ll be reminded to email that important person again, and be able to archive or file away the email in your inbox. Easy peasy.

3. Don’t FEAR the Archive button!

I know, I know, but what if you need that email for later? How will you remember to write your prospect back? (eh-hem…see #2).

How it works: Archiving does not mean deleting. Period. It simply stores your information outside of your daily inbox. Simply search for any email you need, like: “Prospect XYZ meeting” and it will pop right up. I recently got accustomed to archiving the heck out of my inbox, and now I can’t stop.

When to use: When you’ve finished correspondence with your leads or customers, and do not need them top of mind at that moment. Hit the the archive button. Also, if you have an email that’s over 30 days old, Archive it or set a reminder.

That’s it! 3 simple ways to make your day just a little bit better. For more inbox tips, watch our tutorial video.

User of the Week: Johnny Chin, Bannerman

User of the Week: Johnny Chin

Company: Bannerman

1. What’s your company/role:

Bannerman offers the fastest and easiest way to book private security (bodyguards, security guards, and bouncers). Clients are able to book last minute at no extra cost. All of our guards are licensed, have passed background checks and are extensively trained. Many of our Bannermen are ex-military that have honorably served our country.

As one of the founders, I do a little bit of everything (Product, HR, Accounting, etc) but my favorite is finding and getting to know new clients.

2. Why do you love ToutApp? How do you use it for your job?

ToutApp helps me stay super organized. That is key when you’re trying to thrive in a chaotic startup environment and when you feel like you’re playing chess (if chess had a million different dimensions).

ToutApp’s features allow me to be on top of communicating with our Bannermen, keeping in close contact with our clients and being as effective as possible at finding new customers. I don’t think I could live without the “templates”, “groups” and mail merge tools.

3. Why Tout vs. other sales tools in the market?

I’ve had the opportunity to use many different sales tools out there with this startup and with past companies. I made the active decision to switch and pay for ToutApp because it’s honestly the best tool out there to stay organized on the client acquisition side of things. The combination of tools and features are much more advanced than anything else out there. I will continue to stick with ToutApp because it has soul. This comes through with its content, fun features (like the Sales Gong), and its ninja customer service.

4. What was your journey into sales?

My Father was in sales. It’s in my blood. I used to pack batteries, game boy games and candy at summer camp and sell them to all the kids. When I was a young choir boy, I sold raffle tickets to raise money for our European singing tours. The girl scout cookie stands had nothing on me.

5. What’s one of your favorite sales tricks?

One of the goals in sales is to stand out and be remembered. I learned this in college when I played rugby. Being one of the smallest guys on the field, I would often collect “souvenirs” from the game. This translated into showing up for office hours with shoulder splints and bandaged wrists or the likes. The professors always seemed to remember me and therefore became much more accessible. I was able to form fantastic relationships with many of them, while other students never stood out beyond being a dude in a popped collar.

I’m not saying you should go beat yourself up, but maybe use the “Schedule” feature and send an email at 4 AM. You might be remembered as the person that sent back an email at 4 AM.

6. Favorite email you’ve ever received?

From ToutApp asking us if we wanted to be ToutApp User of the Week. Duh Deborah.

**Congrats to Johnny for winning this week! We couldn’t be happier to have you on board with ToutApp. If you’re interested in being the next featured superstar, please apply here. **

You know what really grinds my gears? By: John Barrows

A bunch of stuff, but here are a few phrases/words/questions that really grind my gears and need to be eliminated from the vocabulary of Sales professionals:

1.      Touching base and checking in – my #1 pet peeve and the two most meaningless phrases in sales. They mean there is no reason for your call so there is no reason for me to talk to you. You should always have a reason for your call.
2.      Tell me about your business – one of the worst questions you can ask someone in today’s business world. Companies spend thousands of dollars on their websites, SEO, marketing materials, etc. to tell the world about their business and the first thing you’re going to say when you get someone’s time is “tell me about your business?”  You should know about their business before walking in the door. Ask clarifying questions about their business to show you’ve done your homework.
3.      We’re the leading provider of… – apparently everyone on the planet is the leading provider of something. I challenge you to go to someone’s website and NOT find this phrase or something similar. No fix for this one, just stop using it.
4.      What keeps you up at night? – My daughter keeps me up at night. Next.
5.      Is this a good time? – It’s never a good time. Try “do you have a few moments” instead.
6.      Is this STILL a good time? – reps ask this question to clients even when they have a scheduled meeting on the calendar. Why leave yourself open to someone rescheduling when you already have them?
7.      I can help you (when used too early in the sales process) – You have no idea whether or not you can help me so don’t tell me you can before you understand my situation.  You might have helped other clients like me but don’t tell me you can help me, especially when prospecting.

I have a bunch more but I had to get these off my chest. Good luck and happy selling.

How ToutApp Changed Elliot’s Workflow

Our featured User of the Week entry comes from Elliot Robia, a Market Strategist at Pixel Farm. Every week or so, we’ll profile a different user group who uses our app to improve their email productivity. If you would like to be featured in the future, you can apply here.

Tout has totally changed my workflow.

At Pixel Farm, we have two distinct customers:  ad agencies and large companies.  After understanding how we can help them, prospective clients are usually eager to work with us.  Getting the initial            conversation can sometimes be difficult, however.  This is where ToutApp comes in.

I started using Tout for my outbound emails a few months ago, and it’s excellent.  I find leads using LinkedIn, and the app allows me to A/B test my messaging and eliminate receptive tasks .

Tout provides great insights via its tracking and analytics features, and the user interface is beautiful.  One of my favorite features is the email server integration which allows emails to be sent via your server — not some third party application.  Tout can also be integrated into Salesforce, and inbound emails will land in your inbox (Outlook, Apple Mail, Gmail, etc).

Check it out. It was worth the switch for me.

Introducing: The Sales Communications Dashboard

First of all, Happy Friday.

For those of you that are already ToutApp users, I hope you had a fantastic week of sales communications with new and exciting leads. Thanks to Tout’s Live Feed, you already know who your most engaged leads were, and have probably closed a few more deals than you normally would have since you focused your time on the right people.

For this Friday, as you reflect on how the week went and what you want to do differently next week, we want to give you something that helps synthesize how your sales communications went this week.

Today, we’re introducing something brand new that is going to take your sales game to the next level. Today, we’re announcing something takes all of that amazing analytics and tracking data around your sales emails and wraps it into one meaningful dashboard. Today, we’re announcing our real-time sales communications dashboard.

Although its unorthodox to release stuff on a Friday, we thought it would be great because as you wind down on your long week, you can go ahead and log into ToutApp Dashboard, click on the “This Week” button, and see how your whole week looked in terms of your sales communications.

Tout’s pulse dashboard will make meaning out of all those individual email views and clicks and tell you:

  1. Which times of the weeks were busiest for you
  2. Which times of the week your customers were most engaged
  3. How many emails you dealt with this week
  4. Which templates you used the most
  5. What kind of email content drove the most engagement
  6. Who your most engaged leads/prospects/customers are

And ofcourse, the dashboard was designed for Managers and Teams in mind first, so it’ll also help you tap into the sales communications across your organization and see how everyones doing as a whole.

We’ve put in a significant amount of investment into the underlying data infrastrucutre for processing our email and engagement data. We think this dashboard is just the beginning.

If you and your sales team aren’t on ToutApp yet, what are you waiting for? Get Touting.

Inc.com Lets Entrepreneurs Feel less Lonely with ToutApp

Our featured Team of the Week entry comes from the Inc. Business Owner Council. Every week or so, we'll profile a different user group who uses our app to improve their email productivity. If you would like to be featured in the future, you can apply here.

We are under the auspices of INC. Magazine, which decided that many of the INC. 500/5000 CEOs and business owners needed more than just an informative magazine. So they decided to create regional business owner councils around the country to support these entrepreneurs with their goals. We meet monthly and offer peer support in a confidential setting and offer enhanced access to INC. Magazine and other members around the country. We address the common theme of “lonely at the top”!

ToutApp's take: Entrepreneurs are building the future of technology, and they're working in a fast-pacedworld where the landscape changes constantly. Inc helps bring sanity and community to the process of starting a company, which is filled with pressure. Lately, too, we've seen some devastating losses from entrepreneurs who took their own lives because of depression and anxiety. Inc.com's Business Owner Council aims to create a community for these people, and they use ToutApp to help build and manage it.

With ToutApp, we love that we are not just able to send out numerous emails but we also get to see how effective each email is and who clicks through for further info.

ToutApp allows Inc to spend time contacting truly interested prospects and keep them in the loop. The Inc team are also able to share templates with co-workers in the various regions – a real time saver. They can also use Tout's analytics to determine which templates are more successful than others when reaching out to business owners. Through communication tools like ToutApp, the Inc Business Owner's Council helps unite entrepreneurs across the United States – and we're proud to support them!

Toutapp Helps Lawgical Increase Engagement

Our featured Team of the Week entry comes from Lawgical. Every week or so, we'll profile a different user group who uses our app to improve their email productivity. If you would like to be featured in the future, you can apply here.

About Lawgical

Lawgical is an online marketing company that serves select legal niches. We have a number of brands such as ServeNow, PInow, AboutBail, and the Legal Talk Network that are recognized as industry leading networks for the legal communities that they serve. Our activities range from building our networks to actively promoting the products.

How Lawgical uses ToutApp

ToutApp is an incredibly useful tool for outreach and sales productivity. We use it throughout our marketing and sales departments to create and enhance engagement with clients and leads.

An example of how we've used ToutApp is in communications with governmental agencies for marketing projects. The responsiveness of agencies and their bureaucracies can vary greatly. So being able to view whether they opened or clicked on our emails has guided our communications, especially for when and how we follow up. As a result, we've increased the number of responses to our requests and gotten much better project results.

Beyond just tracking, the ability to create and use templates within ToutApp has helped us routinize and refine certain processes to make them faster and more efficient.

ToutApp Conquers the Legal World

Our featured User of the Week entry comes from Adam Rosenblum, Principal Attorney at The Rosenblum Law Firm. Every week or so, we'll profile a different person who uses our app to improve their email productivity. If you would like to be featured in the future, you can apply here.

I'm the principal attorney at The Rosenblum Law Firm, which focuses on traffic violations and criminal defense in New York and New Jersey. Our website at http://www.ticketdefenselaw.com has over 300 pages of unique content related to traffic violations. We also run http://newyorkspeedingfines.com, an interactive site that educates individuals about the consequences of traffic violations. Our monthly newsletter contains information from our websites, including http://rosenblumlawfirm.com, and goes out to thousands of subscribers to give them information on a broad range of legal topics.

ToutApp has been an invaluable tool for a number of reasons.

Our firm gets a significant volume of potential client leads each month. In addition, many of our current clients are looking for information we provide via email. ToutApp allows us to create templates so that we do not have to write the same emails over and over and track the effectiveness of the templates. Many of our emails include links, and ToutApp also lets us know whether or not people are clicking on them. We also love Tout's campaign feature, which allows us to have a template automatically send a follow-up email. This feature allows us to continue to provide our clients and potential clients information without having to send the emails manually.

Team of the Week: Ambassador always has their Live Feed running

Our featured Team of the Week entry comes from Derek from Ambassador, writing this on behalf of his sales team. Every week or so, we'll profile a different person who uses our app to improve their email productivity. If you would like to be featured in the future, you can apply here.

At Ambassador, we help companies track and manage customer referrals. We'll let you reward your customers (or affiliates) for referring their friends, family, community, or users to you. Once you've tracked referrals, you can issue cash rewards using our integrations with Paypal and Dwolla. We're a hustling Techstars NYC startup in the one and only Detroit, Michigan. I'm managing our sales and customer service communications.

We LOVE ToutApp because we can see how effective our emails are at educating new customers about our product and its features.

ToutApp also lets us see which attachments are opened, when people reference them, and when they go back to review them. Tout also lets us know that a follow-up email has been read or clicked, letting us know that it was compelling to the recipient. Really useful – I always have my Live Feed running!
